Where Excel analysis goes wrong

  • Total rows inside the data. A "Grand total" row at the bottom is added in again by any sum.
  • Numbers stored as text. They look right and are skipped by calculations.
  • Day and month swapped. 03/04/2026 is the third of April in India and the fourth of March in the United States. Mixed formats in one column are common.
  • Merged cells. A merged header leaves the cells under it without a label.
  • Several tables on one sheet. Side-by-side blocks get read as one wide table.

A checklist that makes any AI tool more accurate

  1. One header row, on the first row, with one name per column.
  2. One table per sheet, starting at A1. Put lookups on their own sheet.
  3. No merged cells, no blank rows and no blank columns inside the data.
  4. No total or subtotal rows inside the data. Calculate totals in a separate place.
  5. One date format, and real dates, not text that looks like dates.
  6. Units in the column name, such as amount_inr or weight_kg.
  7. Stable column names. Renaming a column breaks anything that refers to it.
